Datalogic QBT2500 troubleshooting: link, output, battery, reset
Most QBT2500 problems come down to the link between scanner and base, the interface setting or the battery. All named barcodes are in the QuickScan 2500 Family Product Reference Guide (PRG); the most common ones are also in the QBT/QM2500 Quick Reference Guide.

Fixes
1. Nothing happens when you pull the triggerNo light, no beep, no aiming pattern
CauseThe battery is empty, or the scanner has switched off. By default it switches off after 30 minutes without use (Powerdown Timeout), and the Power Off barcode switches it off.
Fix
- Pull the trigger again: after the Power Off barcode, the scanner switches on again at the next trigger pull.
- Put the scanner in the base or connect a USB-C cable to the handle. No light on the base? Check the USB cable.
- Double-tap the top of the scanner head to show the battery level. Below 1 % the scanner works only after charging; a deeply discharged battery can take up to 30–40 minutes.
2. Scanner doesn't work with this baseCharges in the base, but no data arrives
CauseThe scanner is still linked to another base or host. By default it needs the Unlink barcode before it links to a new base.
Fix
- Scan the Unlink barcode (PRG and QRG, section "Linking the Reader").
- Put the scanner in the base you want to use to link the two.
- Which scanner belongs to this base? A short press (1–5 seconds) on the base's button pages it; it answers with five beeps.
3. Scanner reads, but no text appearsBeep and green light, empty field
CauseThe wrong host type is set, or no input field is active.
Fix
- Click into a field or open Notepad, so the text has somewhere to go.
- For typing into any program, scan Select USB Keyboard (QRG; in the PRG: Select USB Standard Keyboard). Interface barcodes need one scan only.
- Software that reads a COM port needs Select USB-COM-STD and Datalogic's USB-COM driver.
- Scanned Select USB-OEM by mistake? At power-up, hold the trigger to unlock the scanner, then scan the right interface barcode.
4. Wrong charactersLetters swapped, symbols or accents instead of digits
CauseThe scanner sends key positions for a US English keyboard by default, while Windows uses your local layout.
Fix
Set the scanner's Country Mode to your layout, or use ALT mode for layouts that are not listed. Step-by-step help for Baltic, Finnish, Polish and Czech keyboards is in QBT2500 keyboard layout.
5. Some barcodes are not readAiming pattern on, but no beep
CauseThe barcode type (symbology) is off, the label is damaged, or the distance is wrong. The PRG's Standard Defaults appendix shows which types are on by default.
Fix
- If no barcode of that type reads, enable it in the PRG's 1D Symbologies or 2D Symbologies chapter: scan ENTER/EXIT PROGRAMMING MODE, the enable barcode for that type, ENTER/EXIT PROGRAMMING MODE. Or use Aladdin.
- Move the scanner closer or further away, clean the scanner window and check the label for damage.
6. Scanner stops sending away from the baseDisconnect beep, scans lost
CauseThe scanner is out of range: Datalogic states 50 m in line of sight, less through walls and racks. The Disconnect Beep (on by default) signals the lost link. Batch Mode is off by default, so nothing is stored.
Fix
- Walk back towards the base. If the link does not return, put the scanner in the base.
- Often out of range? With Batch Mode = Automatic (PRG, Batch Features) the scanner stores barcodes in memory while out of range.
- Scanners left in a cart? Leash Alarm (off by default) beeps three times per second for 1–30 seconds when a linked scanner goes out of range.
7. Direct Bluetooth pairing failsScanner not found, or pairing error
CauseThe scanner is not in pairing mode, the host still holds an old pairing, or the security settings don't match.
Fix
- Remove any old entry for the scanner from the host's Bluetooth device list. Its default name is QUICKSCAN QBT2500 plus the serial number.
- Scan Link to Host in HID mode and search for new devices on the host at once. It stays visible for 3 minutes by default.
- If the host shows a passkey or PIN, scan it with the alphanumeric barcodes in the PRG's Keypad appendix and finish with Passkey END.
- Still an error? Check the Bluetooth Security Level in the PRG's Bluetooth-Only Features section. The default, Level 1, avoids passkey entry. If Level 3 is set and the host cannot handle passkeys, try Level 2. Changing the level unlinks the scanner.
8. Battery and charging problemsSlow charging, short runtime, red blinking light
CauseA very flat battery first pre-charges (base charging light blinking red). A base powered only by USB-A charges slowly. Old batteries hold less.
Fix
- Watch the base's charging light: blinking amber means 1–50 %, blinking green 51–99 %, steady green full.
- For faster charging, add the Datalogic 12 V power adapter to the base, or charge the scanner with a USB wall adapter on its USB-C port.
- If the runtime keeps getting shorter, replace the battery pack. Datalogic recommends a new pack every year.
9. Reset to defaultsStart again from a known configuration
CauseSettings were changed by mistake or are unknown.
Fix
The PRG section "Resetting the Product Configuration to Defaults" has two options. Each is a single scan, without ENTER/EXIT PROGRAMMING MODE.
- Restore Custom Default Configuration brings back the custom defaults saved for the active interface. Select the right interface first.
- Restore Factory Configuration: scan Restore USA Factory Configuration or Restore EU Factory Configuration. Both return all settings, including the interface, to factory values; the two differ in the Label ID set.
The Quick Reference Guide has one Reset Default Settings barcode. After a factory reset, check the interface, Country Mode and suffix again.
Lights and beeps at a glance
| Signal | Meaning |
|---|---|
| Four high beeps at switch-on | Normal power-up |
| One beep and green light after a scan | Good read |
| Light blinking slowly (100 ms on, 900 ms off), no beep | Scanner disabled, or no connection to the host. To program it in this state, hold the trigger for 5 seconds. |
| Light blinking continuously after four low beeps | Programming mode. Scan ENTER/EXIT PROGRAMMING MODE to save and leave it. |
| Light blinking fast (200 ms on, 200 ms off) with one error beep | ROM failure. Contact us for service. |
| Base: Power/Data steady | Base has power |
| Base: Power/Data blinking | Data or commands passing between base, PC and scanner |

Frequently asked questions
How do I reset a Datalogic QBT2500 to factory settings?
Scan Restore USA Factory Configuration or Restore EU Factory Configuration from the PRG section "Resetting the Product Configuration to Defaults". It resets all settings, including the interface, with one scan.
Why won't my QBT2500 connect to a new base station?
It is still linked to its old base. Scan Unlink, then place it in the new base.
Why does my scanner beep but not type anything?
The interface doesn't match your software, or no input field is active. Scan Select USB Keyboard and click into a field.
