Zebra ZD621 troubleshooting: lights, display alerts and fixes

What the five ZD621 status lights and the touch display alerts mean, and how to clear media out, ribbon out, head open, temperature, memory and network problems.

    The ZD621 reports problems with five status lights: green means ready, amber busy or a warning, red that the printer needs you. On models with the colour touch display, the screen also turns yellow or red and names the alert. Find your lights or message below.

    What the lights mean

    STATUS Steady green Ready to print
    STATUS Slowly fading green Sleep (low-power) mode
    STATUS Steady red Media out or not detected, cover open, cutter error, or printhead not recognised
    STATUS Steady amber Printhead too hot, printhead element fault, out of memory, or a power fault on the USB host or serial port
    STATUS Flashing amber Printhead too cold

    Fixes

    1. Media outSTATUS and SUPPLIES steady red · "Media Out"

    CauseThe roll is empty, or the movable sensor is in the wrong place, dirty or set for another label type. A missing label on the liner marks the end of a roll.

    Fix

    1. Roll empty? Load a new one with the printer still on; switching off loses the current job.
    2. Check that the labels run under both media guides and that the roll turns freely.
    3. Check the movable sensor: default position for gap labels and continuous media, over the mark for black mark or notched labels.
    4. Close the cover and press FEED once or PAUSE to continue.
    5. Still red? Run SmartCal: hold PAUSE + CANCEL for 2 seconds. If that fails, see our ZD621 calibration guide.
    2. Ribbon outSTATUS red, SUPPLIES flashing red · "Ribbon Out"

    CauseThe ribbon is used up. Genuine Zebra ribbons end with a reflective trailer that the printer reads as the end of the roll. Dirty ribbon-sensing parts can cause the same alert.

    Fix

    1. Remove the used ribbon, keeping the empty core, and load a new one as shown in our ZD621 setup guide.
    2. Close the cover and press FEED once.
    3. Printing on direct thermal labels without ribbon? Set the print method to direct thermal in the driver.
    3. Cover openSTATUS red, PAUSE amber · "Printhead Open"

    CauseThe cover is open or not fully latched, or the printer's head-open switch is faulty.

    Fix

    1. Press down on both front corners of the cover until you hear and feel the latches click.
    2. Still showing with the cover closed? The head-open switch needs service. Contact us.
    4. Cutter or printhead errorSTATUS red on its own · "Cutter Error"

    CauseSTATUS steady red alone: something has jammed the cutter blade. STATUS flashing red, or STATUS, PAUSE and DATA red: the printer cannot read the printhead or does not accept it as genuine.

    Fix

    1. Cutter: hold POWER for 5 seconds, wait for the shutdown and switch on again. Never reach into the cutter, remove its cover or clean it with solvents. If the error returns, contact us.
    2. Printhead: fit a genuine Zebra printhead correctly, or contact us.
    5. Printer pausedPAUSE steady amber

    CauseSomeone pressed PAUSE, or the printer paused itself after an alert.

    Fix

    1. Press PAUSE once to continue printing.
    2. To clear jobs first: while paused, press CANCEL once to drop the next label format, or hold it for 2 seconds to drop all waiting formats.
    6. Printhead too hot or too coldSTATUS amber or flashing · "Printhead Over Temp" / "Printhead Under Temp"

    CauseToo hot: a long print run or direct sunlight. Too cold: the room is below 4.4 °C, or the temperature sensor has failed.

    Fix

    1. STATUS steady amber: wait. Printing continues once the printhead has cooled.
    2. STATUS and PAUSE flashing red: switch off, let the printer cool for several minutes, switch on.
    3. Too cold: switch off, move the printer somewhere warmer and let it warm up slowly to avoid condensation. If the alert stays, contact us.
    7. Out of memorySTATUS amber, DATA flashing amber · "Out of Memory"

    CauseNo room is left to store a label format, graphic, bitmap or font. On the display, the second line says what could not be stored.

    Fix

    1. Make the label format or its print area smaller.
    2. Delete stored graphics, fonts and formats you no longer use.
    3. Check that your software doesn't send data to a storage device the printer doesn't have.
    8. Labels come out blankNo alert, labels feed without print

    CauseThermal transfer labels printed without ribbon, labels loaded upside down, or ribbon inked on the wrong side.

    Fix

    1. Scratch the label quickly with a fingernail. No black mark means thermal transfer labels: load a ribbon and set the print method to thermal transfer in the driver. On the display: Print › Print Quality › Print Type.
    2. Check that the print side faces up towards the printhead.
    3. Press a piece of tape onto the outside of the ribbon roll. If no ink sticks to it, the ribbon is wound the wrong way for this printer; use a ribbon with the ink on the outside.
    4. Faint rather than blank? Adjust the darkness in the driver or under Print › Print Quality › Darkness; use the lowest setting that prints cleanly.
    9. Network not connectedNETWORK red

    CauseSteady red is an Ethernet or Wi-Fi fault. Flashing red, then flashing amber, means Wi-Fi is still connecting. For comparison: green is a 100 Mbit/s Ethernet link or strong Wi-Fi, amber a 10 Mbit/s link, flashing green weak Wi-Fi, and off means no Ethernet link.

    Fix

    1. Ethernet: check the cable at both ends and try another switch port.
    2. Hold FEED + CANCEL for 2 seconds to print the configuration and network reports, and check the IP settings.
    3. On the display, check Connection › Wired or Connection › WLAN, then use Connection › Networks › Reset Network so changes take effect.
    Note

    With Zebra's EU Protected Mode (see our setup guide), protected network settings need the Protected Mode password and can't be changed from the front panel.

    Frequently asked questions

    What does a red light on the Zebra ZD621 mean?

    Red means the printer needs attention. STATUS and SUPPLIES both red means media out; SUPPLIES flashing red means ribbon out; STATUS red with PAUSE amber means the cover is not latched.

    Why is the ZD621 display yellow or red?

    The printer is in an alert or error state. The screen names the problem; touch Help for guidance, then use the matching fix above.

    The display asks for a password I never set. What now?

    The front panel can be locked with a password or PIN, which has no value until someone sets it. Ask whoever set up the printer, or contact us.
